Need to Create the perfect Wedding day Timeline?
December 11, 2025
After more than a decade as an Austin wedding photographer, one thing has become crystal clear: the real magic of a wedding day doesn’t happen in front of the camera – it happens behind the scenes, in the hands and hearts of an incredible wedding vendor team.
Beautiful photos come from beautiful moments, and beautiful moments come from people who care deeply about serving couples well. This year gave me countless reminders of why I’m forever grateful for the planners, florists, hair & makeup teams, videographers, venue staff, and creatives who make each celebration feel effortless for my couples.
Today, I’m sharing favorite moments from this year’s weddings where vendors stepped up, worked together, and created true magic.
Inside, you’ll find:

The weddings where couples fully trusted their vendor teams ended up being some of my absolute favorites this year. For example, I loved everything about Sara & Erich’s wedding at Sandlewood Manor because they had so much trust in their vendors. They came all the way from Seattle and leaned heavily on their amazing (and fun to work with!) planner, Ammie Marie.
Destination weddings come with a ton of moving parts, and Ammie made sure every single detail worked together flawlessly. I can’t tell you how much a wedding planner will save you, but they’re worth their weight in gold! Hire the planner.
A strong vendor team gives couples the freedom to be fully present. It also lets me photograph the day with intention, creativity, and zero chaos.

So many vendors stepped in this year and saved the day in ways couples never even realized.
One big one:
Multiple videographers took drone photos for me so I could share aerial images for couples without needing to put my own drone in the air. It saved time, kept the day flowing, and still gave couples those epic shots they love.

Another example of teamwork:
Josh & Caitlin’s Hidden River Ranch wedding In Lampasas. It rained most of the day, hailed during their ceremony, and the sun barely peeked out during the reception entrance. Their wedding planner, Micah, with Bridges & Co., was so flexible with timing adjustments so we could step out and capture stunning sunset portraits of the couple. She could have said no. It would have been easier to stick to the schedule we’d all agreed to. But she pivoted that timeline, and then communicated with DJ, catering, and photo/video teams.
That’s the kind of vendor who changes everything for a couple!

Part of being on a strong vendor team means being a strong teammate. I love checking in with vendors throughout the day.
Small conversations like these lead to big, meaningful images. In the image below, for example, we had a team meeting on the day of in the room about the lights. Most people assume that photo and video want all the lights on, but that is usually the exact opposite of what we need. These lightbulbs were showing up as flickers for the video team and were coming across as yellow/orange color casts on my camera. So, as a team, we decided to leave the lights off so we could all us natural light, without worrying about flickers or color casts, and it was the best decision!

A strong planner on a wedding day means I get more time to take pictures and less time coordinating people. That gives couples stronger images and more variety in their wedding gallery. I can focus fully on photos instead of tracking down bouquets or coordinating people. The planner already has it covered. I’m always happy to help, but planners who handle these tasks give me space to focus on creating beautiful photos.
It’s the same with florists. If they’re still setting up when guests arrive, I can’t photograph the ceremony details my couples expect. I love florists who set up early and bring loose blooms because they help me stay on schedule. I can only take flatlay photos before the bride gets dressed. Those loose blooms must be ready when I am. If they aren’t there at the right time, I lose the chance to photograph them because the timeline moves me straight into the next event.
And hair & makeup teams? They are absolute heroes. The ones who follow a timeline for each artist make a massive difference. If the day is going to run behind, it’s usually in the hair and makeup chair. It’s not always the artists’ fault. Sometimes bridesmaids arrive without dry hair, clean faces, or a clear inspiration photo. When this happens, it really puts a damper on the day when there isn’t buffer time built in for these delays, and we lose half an hour or more of portrait time the bride was expecting because hair and makeup ran late. It’s a good reminder for brides to schedule their trial at the same time they plan for their engagement session and take note of how long they need to be in the chair. If there isn’t a schedule for each artist, the day usually runs behind. The timeline gets rushed, and portraits lose polish. We end up scrambling to make up time. Luna Beauty did the hair and makeup below and it was the perfectly timed hair and makeup schedule!

I was SO HONORED to photograph an Austin wedding planner’s wedding this year, and we all know that planners hire the best of the best. Maria & Ray’s wedding was the total dream team. We all adore Maria and wanted the best for our girl and were willing to do anything to make sure she got only the best! She also could have hired literally anyone, but she handpicked each of us to bring her dream day to life. She also had Harry Potter lights floating above the reception, so I may be biased.

Another favorite…
One of my couples hired almost every vendor I personally love, and it showed. Even though the weather was terrible, every vendor came in with a “make sure they have the best day no matter what” attitude and really worked together to make sure they got everything (including an outdoor ceremony) they were hoping for. I got to work with Vida Films, Josh Klaus, Bouquets of Austin, and Vintage Villas took care of us with vendor meals (which feels like a luxury when working weddings).

Experienced vendors know exactly when to step in with professional advice and when to step back and let their clients’ day and emotions lead.
Weddings are live events and are unpredictable – weather, traffic, delayed shuttles, unexpected emotions. A great vendor knows what to prioritize, how to fix something quietly, and how to keep you in the moment so you never feel that behind-the-scenes stress.
Sometimes you need someone in your corner. Sometimes you need space. An experienced vendor can read the room and decide which one you need – without ever making you feel overwhelmed.
I’ll never forget being at an event last year when my shoulder muscle was basically frozen. I couldn’t move my head, it was hard for me to look left or right, I was in pain, and I was having to turn my entire body to see in any direction.
Then Gabby – sweet Gabby – who used to work in a chiropractor’s office, stepped in and literally saved the day for me. She asked if she could try something to help me with the pain. Of course, desperate, I Was willing to try anything! She pushed her thumb into my shoulder and ran it up to hold pressure at the base of my skull. I literally got chills and goosebumps on my arms, then my legs when she did it again. That moment, I was able to move my head side to side and I was so very grateful for her help and skill set! I was able to get through the rest of the day without pain and it made all the difference. Her coverage time had already ended, and she could have left. Instead, she stayed to help me, and I’m forever thankful.
Another moment:
I have a pretty sweet photo of a couple hugging Josh Klaus immediately after the ceremony. They chose to hug him first after tying the knot, and that moment speaks volumes to the love and joy he puts into wedding days. He also kept that dance floor PACKED all night, which gives me something to photograph!
I always love getting to work with great planners again and again, especially if they also design weddings. It makes it more fun for me to photograph when there is a story tied to every detail of the day. Karla McNeil is one of my favorite Austin Wedding planners, and I’m so excited to share that I already have two weddings with her next year! One is a Valentine’s Day themed wedding with lots of hot pinks and the other is a couple coming from Germany to get married in the Texas Hill Country. She planned and designed this wedding, one of my favorites!

Austin wedding vendors aren’t just “behind the scenes.” They’re the heartbeat of the day.
They create the atmosphere, the beauty, the comfort, and the steady calm couples feel.
And they make my job – capturing flattering, heartfelt, true-to-life images – truly possible.
I’m endlessly grateful for each of you.
